Short Professional Job Description
Provide document digitization and records management support by preparing, scanning, indexing, and maintaining physical and electronic documents. Ensure digital records are accurate, properly classified, and securely stored while supporting efficient document retrieval, regulatory compliance, and business operations.
Key Responsibilities
- Prepare, scan, and digitize paper documents using high-speed scanning equipment.
- Verify image quality and ensure all scanned documents meet company standards.
- Index and classify digital files using document management systems.
- Organize and maintain electronic document archives.
- Perform quality control checks to ensure data accuracy and document completeness.
- Retrieve, update, and distribute digital records upon request.
- Maintain confidentiality of sensitive company and client information.
- Support records management and document retention procedures in compliance with company policies.
Requirements
- High school diploma or equivalent; a certificate in Business Administration or Records Management is an advantage.
- Previous experience in document scanning, data entry, records management, or administrative support is preferred but not required.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and document management software.
- Excellent attention to detail and strong organizational skills.
- Ability to work independently while meeting productivity and quality targets.
- Good written and verbal communication skills in English; knowledge of French is an advantage.
- Ability to handle confidential information with professionalism and integrity.
