We are seeking a proactive and highly organized
Executive Assistant & Office Manager to provide comprehensive administrative and organizational support to our leadership team and the wider organization. This role requires office presence to effectively oversee operations, support team members, and ensure the smooth day-to-day functioning of our office environment.
As a key part of this role, you will serve as the Executive Assistant and Office Manager for 2-3 newly established biotech companies, providing direct support to their management teams. You will help coordinate day-to-day operations, manage administrative processes, facilitate communication, and contribute to building an efficient and well-organized working environment as these companies grow.
Executive & Administrative Support

Provide calendar management, travel arrangements, expense reporting, and correspondence support for executives.

Act as a key point of contact for external stakeholders, including investors, partners, and visitors.

Organize and manage Board meetings, leadership meetings, and company events, ensuring preparation of agendas, materials, and follow-ups.

Assist with document management, contracting processes, and administrative workflows.
Office Operations

Oversee the procurement and management of office supplies, furniture, IT equipment, and vendor services.

Coordinate and maintain office infrastructure, including equipment maintenance and cleanliness.

Handle visitor reception, conference room scheduling, mail, deliveries, and catering arrangements.

Proven experience in executive support and office management roles.

Highly reliable and flexible, with a strong sense of responsibility and commitment.

Able to work independently, proactively, and with a high degree of ownership.

Ability and willingness to work onsite daily as part of the office team.
