Overview:
Production Resource Group Belgium is looking for a structured, proactive and solution-oriented Crew Planner to join our production team in Tildonk.
As Crew Planner, you will be responsible for planning, booking and coordinating the right crew for PRG productions. You ensure that every job is staffed correctly and on time, using internal crew, freelancers, subcontractors, interns or student workers where needed. You will also make sure that all planning information, callsheets and related administration are complete, accurate and up to date.

Experience in planning, crewing, production planning or a similar operational role.

Experience in live events, AV, entertainment or touring is a strong advantage.

Excellent organisational skills and the ability to prioritise under time pressure and changing workloads.

Experience with Crewzone/CZ, Oracle, WinHits or similar systems is a plus.

Good knowledge of Dutch and English.

Knowledge of French is a plus.

Discretion and accuracy when working with personal data, availability, rates and production information.

Responsibilities:
As Crew Planner, you will:

Select, contact, book and coordinate internal crew, freelancers, subcontractors, interns and student workers for jobs and productions.

Translate staffing needs from Project Managers and Account Managers into realistic and efficient crew plans.

Monitor crew availability, skills, certificates, safety requirements, legal requirements and practical deployment options.

Prepare, check and send out callsheets on time, including working hours, locations, contact persons, tasks and specific arrangements.

Create and follow up on crew-related purchase orders for planned jobs within the agreed workflow.

Accurately register and maintain planning information, requests, confirmations and changes in Crewzone/CZ and other relevant systems.

Respond proactively to changes, cancellations, illness, last-minute requests and capacity challenges.

Act as the first point of contact for planned crew regarding availability, schedules, changes and operational arrangements.

Coordinate with Project Managers, Account Managers, the Production Assistant, Finance, HR and other PRG offices when required.

Provide timely information to the Production Assistant for hotels, transport, parking, accreditations, VCA and other administrative follow-up.

Identify missing profiles or skills within the pool of freelancers or internal crew and provide input on new profiles.

Contribute to efficiency improvements in Crewzone/CZ, including PO flows, requests, planning data and standard ways of working.

Ensure that company policies, procedures, rules and obligations are followed in the execution of the role.
