POSITION SUMMARY
The Senior Manager, INTL Medical Excellence & Operations will provide operational leadership for International Medical Affairs by coordinating budget and financial management, process optimization, medical meeting planning, and congress management across INTL Medical Affairs and EU/INTL teams. This role will partner closely with Medical Affairs leadership and cross-functional stakeholders to improve tools, dashboards, team operating rhythms and meeting execution for a growing international organization.
JOB FUNCTIONS/RESPONSIBILITIES
- Lead International Medical Affairs budget and financial management, including weekly invoice tracking, review of large accruals, monitoring paid invoices and purchase orders, and coordinating with Finance to support accurate forecasting and spend visibility for INTL Medical Affairs and EU/INTL activities.
- Drive process optimization across INTL Medical Affairs and EU/INTL, including SharePoint organization, onboarding support for new hires, International Medical dashboard development, workflow standardization, and improvement of operational tools and governance.
- Plan and coordinate internal medical team meetings, including monthly and quarterly full-team meetings, leadership calls, face-to-face meetings, agendas, logistics, action tracking, and cross-functional follow-up.
- Support medical and commercial congress management activities, such as ESPGHAN and DeltaCure/HepD planning, logistics partnership with vendors, site visits for venues and restaurants, registration-page support, template review, weekly vendor calls, budget alignment, and post-event follow-up.
- Identify opportunities to simplify, streamline, or standardize operational workstreams to increase capacity, improve accountability, and enable Medical Affairs teams to focus on strategic priorities.
- Partner with internal stakeholders including Medical Affairs, Commercial, Finance, Legal, Compliance, Regulatory, Clinical Operations, Publications, CMC, and external vendors to coordinate compliant, timely, and effective execution of International Medical Affairs projects.
QUALIFICATIONS
Education /Experience:
- Bachelor's, Master's, or Doctorate (i.e. RN, BS/BA, MS/MA, PharmD) level of degree from an accredited university/program.
- Individual's with project management and operations experience are preferred.
- 5+ years of biopharmaceutical experience, with an understanding of the current regulatory and compliance environment.
Knowledge, Skills and Abilities:
- Proficient in Microsoft OneNote, Teams and Office 365 (proficiency with Microsoft PowerPoint and Excel is essential).
- Highly organized individual, who possesses the ability to work in a fast-paced agile environment.
- Must possess excellent oral and written communication skills.
- Ability to interact with and coordinates appropriate scientific and medical activities with internal stakeholders (i.e. commercial, clinical operations, statistics, regulatory, publications, chemistry, manufacturing, controls 'CMC' etc.) as they relate to on-going medical affairs projects.
- Ability to work independently with some supervision and guidance.
- Exercises sound judgment within well-defined practices and policies.
Work Environment:
- This is a high growth, fast paced small organization. The ability to be productive and successful in a work environment is critical.
- Willingness and ability to travel domestically and internationally is required, it is anticipated that this will be up to 30% of work time.
