The primary purpose of the Strategy & Corporate Development and Finance Coordinator is to provide comprehensive coordination, analyst and logistical support to the Strategy & Corporate Development. This includes managing high profile external meeting coordination with investment banks, VCs, biotech and Pharma execs, internal meeting planning involving senior management and highly cross functional support, coordinating travel and event logistics, handling invoicing and expenses, and maintaining accurate records. Additionally, the role includes providing administration and coordination support the Strategy & Corporate Development and Finance team and other designated business leaders in managing global activities. The role is essential in ensuring the Strategy & Corporate Development and Finance team can effectively engage with high profile external and internal stakeholders, enabling effective functioning of the team to overall success of these departments.
RESPONSIBILITIES AND ACCOUNTABILITIES
External Meeting Coordination
Assist with external meeting requests, including sending meeting invites, booking meeting rooms, registering attendees with Reception/Security, and escorting attendees to meeting rooms.
Research and Analysis
Compile and format materials including summarising and distributing investment bank and VC reports.
Manage regular touchpoints and cadence for engagements
Design and produce complex documents including reports and presentations, collecting and preparing information for both internal & external stakeholder meeting
Invoicing and Financial Administration
Manage invoicing processes, including sending invoices to Accounts Payable, assisting with coding, and liaising with vendors.
Complete expense reports via Concur for the team & other designated leaders.
Travel Coordination
Organise travel arrangements for the team & other designated leaders, including flights, accommodation, airport transfers, and visa requirements.
Team Collaboration
Work closely with other Executive Assistants, maintaining regular catch-ups via face-to-face meetings or Teams.
Assist with other administrative tasks as required by the IR team.
Administrative Support
Provide comprehensive, high quality and confidential executive administrative support to VP, Strategy & Corporate Development and other senior executives as allocated.
Proactively managing dairies & travel schedules, assist with agendas and attend key meetings to support sufficiently so that the executives achieve their strategic goals.
Liaise closely with counterparts in other regions when required
When the CFO is on site visits in Europe, this role will work closely with and support the CFO’s executive assistant, providing the local administrative support incl ensuring the CFO has an office space during her/his visits, supporting diary & travel management incl meeting room bookings, transportation or other related needs
Provide wet ink signatory support as required
Your Profile
A diploma or degree in Business Administration, Finance, or a related field is preferred.
Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with Concur, Nasdaq, and other relevant software tools is advantageous.
Proven experience in an administrative or coordinator role, preferably within strategy, finance, or a related field.
Demonstrated ability to manage multiple tasks and priorities effectively.
Experience in organising events and coordinating travel logistics.
Familiarity with financial administration processes such as including invoicing and expense reporting.
Well-developed/proficient skills in all Microsoft packages (Word, Excel, PowerPoint), with the ability to learn new systems quickly
Experience in providing executive support to senior leaders with a strict sense of professional ethics and ensure confidentiality
