Contexte et environnement

TotalEnergies has developed strong expertise in oil and biofuels, natural gas, electricity and low-carbon energies. Our trading activities are conducted from our main hubs in Geneva, Paris, Houston, Dubai and Singapore.

Based in Geneva, you will join the Trading Administration team and provide administrative and logistical support to Management, Heads of Desk and Traders.

This position is offered as a fixed-term contract to cover maternity leave, from November 2026 until June 2027.

The role operates in a fast-paced, open-plan trading environment where priorities can change quickly. It requires responsiveness, discretion, flexibility and a strong service mindset.

Activités

As an Administrative Assistant, your main responsibilities will be to:

Provide daily administrative support to the Trading Floor.
Maintain personnel information, telephone directories, seating plans and employee presence records.
Organize business travel, including transportation, accommodation, visa applications and travel authorizations.
Prepare and follow up on expense reports and reimbursement requests.
Receive and distribute mail, parcels and courier deliveries.
Coordinate registrations for conferences and training sessions.
Prepare meeting rooms and ensure that the necessary equipment is available.
Support the organization of internal events, workshops, conferences and after-work activities.
Welcome visitors and provide ad hoc support to the trading teams.
Respond efficiently to urgent and last-minute requests.

Profil du candidat

You have previous experience in an administrative assistant, team assistant or similar support role.
Experience in a trading, banking, financial services or other fast-paced corporate environment would be an advantage.
You are fluent in French and have a good professional level of English.
You are proficient in Microsoft Office, particularly Outlook, Word, Excel and PowerPoint. Knowledge of Microsoft Copilot would be an asset.
You have strong organizational skills and excellent attention to detail.
You are able to manage several priorities, follow up effectively and meet deadlines.
You are responsive, adaptable and comfortable working under pressure.
You demonstrate strong interpersonal skills and a service-oriented approach.
You are reliable, discreet and able to handle confidential information.
You can work independently, take initiative and collaborate effectively with different stakeholders.
