Your tasks

Manage business travel arrangements (flights, accommodation, visas, invitation letters) and maintain the corporate travel platform (Perk).
Handle travel expenses management for Board Members, including verification and reimbursement follow-up.
Support the organization of internal and external events (logistics, transportation, accommodation, meals, etc.).
Oversee the full administrative coordination of apprentices, including rotation planning and internal follow-up in collaboration with HR.
Provide administrative and organizational support to the Executive Assistant of the Managing Directors (meetings, correspondence, document preparation, translations).
Contribute to internal communication activities (All Staff / All Managers communications, internal platforms, etc.).
Ensure continuity of executive support in the absence of the Executive Assistant.
Assist with reception tasks, including procedures updates, and cover reception desk and phone duties when needed.
Assist Facilities & Security with administrative tasks.

Your profile

CFC commercial certificate or equivalent qualification.
Minimum 2 years of experience in a similar administrative role, ideally in an international environment.
Excellent command of MS Office (Word, Excel, PowerPoint, Outlook).
Fluent in French and English (written and spoken).
Company trainer for commercial apprentices is an advantage.
Excellent organizational skills – You manage multiple priorities with precision and reliability.
Strong communication skills – You interact effectively with internal and external stakeholders.
Service-oriented mindset – You are committed to delivering high-quality support.
Proactive and flexible – You anticipate needs and adapt quickly to changing situations.
Analytical and detail-oriented – You work rigorously and ensure accuracy.
Team player – You collaborate positively across departments.
